Alcohol, Staffing & Extra Charges

The City publishes additional rules for certain events involving alcohol.

  • Alcohol use requires advance permission and a completed permit.
  • For many indoor venues, the listed alcohol permit fee is $100, with the application submitted at least 60 days before the event.
  • An off-duty Lenexa police officer may be required at $60 per officer per hour.
  • The Porch has its own alcohol permit arrangements, including a listed $25 permit fee.
  • Security, staffing, staging, damage deposits and additional equipment may increase total costs.
Do not calculate the final event budget using only the hourly price. Ask for a complete written quote that includes setup, cleanup, staffing, deposits, equipment and cancellation terms.

How to Book a Lenexa Community Center Rental

  1. Choose a venue. Select the Walnut, Oak or Haskins Room for smaller gatherings, the gymnasium for larger events, or an entire-facility rental for a major celebration.
  2. Estimate attendance. Include guests, staff, entertainers, vendors and other people who will be present.
  3. Select your date. Prepare preferred and alternative dates, plus start and finish times.
  4. Plan setup. Consider table arrangements, kitchen access, audiovisual equipment, stage requirements and cleanup time.
  5. Check official availability. Open the Lenexa Old Town Activity Center rentals page and select the correct venue.
  6. Request a complete quote. Confirm hourly charges, minimum rental periods, residency discounts, deposits, staffing and any alcohol permit requirements.
  7. Complete the city process. Follow the City’s official rental request, agreement and payment instructions.
  8. Obtain confirmation. Do not invite guests or pay outside providers on the assumption that a requested date is already booked.

For another example of municipal event-room bookings and differing capacity limits, read our Newtown Community Center room-rental comparison guide. Lenexa’s own rates and rules take precedence for this venue.

Birthday Parties & Family Celebrations

The City advertises five birthday party packages at Old Town Activity Center. Options and included activities should be reviewed through the current party-booking page.

Before Booking a Birthday Party

  • Confirm the child’s age and expected number of participants.
  • Ask what games, recreation equipment and room access are included.
  • Check party duration and whether setup or cleanup time is included.
  • Confirm food, drinks, decorations and outside-vendor rules.
  • Ask whether adults supervising the children are included in the guest count.
  • Check the deposit, refund and rescheduling policy.

Some packages may be appropriate for groups interested in sports or active play, while others offer more traditional party-space arrangements. Use the official package descriptions rather than assuming all equipment is included.

Find official birthday party options.
