Rental Fees: What Should You Budget?

An older district reservation form lists rates varying by room size, weekday versus prime-time use, residency and nonprofit status. However, that form predates the updated June 2026 reservation guide.

For an accurate 2026 quote, call 630-851-8990. Ask for the current hourly rate, refundable deposit, minimum duration, insurance and optional equipment costs.

Available extras can include audiovisual equipment, IT support, tables and kitchen access, subject to the rental agreement.

Our community center room-rental guide explains how to compare hourly fees, deposits, minimum booking periods and additional event costs. Eola’s official quote takes priority.

How to Book an Eola Room or Gym

  1. Choose the room. Estimate your event’s maximum attendance and preferred seating layout.
  2. Select event dates. Prepare your first-choice date and an alternative.
  3. Ask about available space. Call 630-851-8990 and confirm the room’s availability.
  4. Request the current form. Download or obtain the Eola Rental Request Form; gymnasium bookings have a separate form.
  5. Confirm your rate category. Park district residency and qualifying nonprofit status affect pricing.
  6. Review extras. Ask about tables, kitchen, projector, microphones, technical support and outside vendors.
  7. Submit in person. Bring the completed form to Eola Guest Services as directed.
  8. Pay the deposit. A room is not reserved until the district receives the required deposit.
  9. Pay the balance. Complete the remaining rental payment at least two weeks before the event.
  10. Keep written approval. Confirm the room, entry time, cleanup requirements, guest limits and cancellation policy.
Booking warning: The district does not accept ordinary Eola meeting-room reservations entirely online. Completing a request form is not the same as a confirmed booking. The deposit is separate from the room charge and is refunded according to the agreement.

Resident vs. Nonresident Rental Pricing

The district’s Eola rental form historically defines resident eligibility for people living in Aurora, Montgomery, North Aurora or Sugar Grove. Qualifying nonprofits have a separate pricing category.

Rate CategoryWho Should Ask About It?
ResidentEligible residents of Aurora, Montgomery, North Aurora and Sugar Grove, subject to verification.
NonresidentApplicants outside the eligible district residency area.
NonprofitQualifying churches, government organizations, schools, social-service organizations and recognized nonprofits.
Prime-Time RentalEvening, weekend or holiday bookings when the current fee schedule applies a separate rate.

Ask whether the current reservation agreement requires proof of address or nonprofit documentation before the booking can be completed.

For Eola-specific availability, ask Guest Services for the latest adult program schedule and whether an activity requires preregistration or a membership.
