Add cleanup time

R&DE recommends ending party or large-gathering reservations one hour after the actual event end time. Smaller events should still add a 30-minute buffer.

  • Small study groups when a room is available.
  • Quick graduate-student meetings.
  • Casual lounge use in non-reservable areas.
  • Flexible use that can move if the space is not available.

Drop-in use is risky for

  • Events with food, alcohol or outside guests.
  • Large community gatherings.
  • Events involving children.
  • Programs that require guaranteed seating, setup, or promotion.
Drop-in tip: if you would be embarrassed to move rooms after people arrive, submit a reservation instead of relying on drop-in availability.

Events With Children: Sydney Playroom Is Not Optional

Stanford R&DE’s GCC-specific policy says that if children, including toddlers and older children, are involved in a reservation, the Sydney Children’s Playroom must be reserved concurrently. At least one adult must supervise children inside the playroom at all times.

Good event plan

Reserve the main room and Sydney together, name the adult supervisor, and tell families where children should go before the event starts.

Risky event plan

Do not assume children can freely use hallways, lounges, Havana, the Pub or meeting-room corners. If children are part of the event, treat Sydney as part of the event plan.

Food, Alcohol, Havana and Ray’s Grill Rules

Food and alcohol are where many event plans become complicated. If your event is simple, food-free and small, room planning is easier. If it uses Havana, food or alcohol, build in extra lead time.

Cleaning, Furniture and Room-Care Rules

Appliance surfaces must be cleaned inside and out. Stove and microwave use is for heating food for scheduled events, and appliances must be turned off after use.

Chairs

Return furniture correctly

Tables and chairs should be returned to original locations. Extra GCC chairs go back to first-floor storage or room 211 on the second floor.

Do not move furniture between rooms

Furniture cannot be moved between rooms. Ray’s Grill furniture and carpets cannot be moved.

Decorations are limited

Decorations and flyers cannot be attached to wall surfaces or ceilings. Candles are prohibited.

Leave quietly

R&DE asks participants to retrieve bicycles and leave nearby areas quietly and quickly to avoid disturbing nearby residents.

Organizer tip: name one person as cleanup lead before the event starts. Waiting until the end usually creates confusion, missed trash, misplaced chairs and possible future reservation problems.

Programs and Events: Where to Look

The GCC can be a venue for graduate events, but current programs may also happen at EVGR lawns, other graduate residences, classrooms, cafés or other campus spaces. For current programs, check GLO and Stanford Events rather than relying on old PDFs or old event brochures.
