How to Reserve a Banquet or Meeting Room

For banquet reservations, the City provides an online request form. Meeting room reservations can be arranged by phone or in person.

1
Choose the appropriate room

Estimate your number of attendees and decide whether you need a banquet hall, dining room, small meeting space or council chambers.

2
Check the reservation window

Banquet reservations may be requested 18 months ahead by residents or 12 months by nonresidents. Meeting room advance limits are generally 12 or 6 months respectively.

3
Prepare essential event details

Have your name, organization, address, phone number, event type, expected attendance, preferred date, start/end time and preferred layout ready.

4
Contact the rental office

Call 952-939-8390 for meeting rooms, or open the City’s banquet page and follow the Online Banquet Reservation Request Form.

5
Discuss requirements and costs

Ask about resident or nonprofit eligibility, catering, A/V, kitchen use, decorations, permits, insurance, cancellation rules and room setup.

6
Confirm the official reservation

For banquet rentals, the City requires a $250 non-refundable, non-transferable down payment that is credited to the total balance. Obtain your confirmed permit and payment instructions from the City.

7
Organize event arrival

Confirm room access, vendor arrival, deliveries, equipment, setup, checkout and personal-item removal instructions before the event.

Important Rental, Catering & Cancellation Rules

Meeting Room Cancellation

  • A 30-day notice is required to cancel or change a standard meeting-room reservation without penalty.
  • With fewer than 30 days of notice, the City states no refund will be granted.
  • A $25 no-show charge may apply in addition to the booked room fee.
  • Banquet and dining/community rooms have separate cancellation terms; do not assume these meeting-room rules apply to weddings.

Banquet Decorations & Cleanup

  • Decoration plans and special setups require facility management approval.
  • Glitter, confetti, wall tape, tacks, fog machines and certain hanging decorations are not permitted.
  • Only self-contained candles are permitted.
  • Renters must remove decorations, food, packaging and personal belongings after the event.
  • The City provides one standard table/chair setup and teardown arrangement.
  • Additional cleaning charges or damage responsibility may apply.

Food & Catering

You may choose your own caterer. A licensed caterer must have a current catering license on file with the community center.

If you provide your own food or use an unlicensed caterer, the City requires a certificate of liability insurance of at least $300,000, submitted at least two weeks before the event.

Renters using the kitchen are responsible for detailed cleanup of preparation surfaces, sinks, ovens, appliances, refrigerators and related equipment.

Sales and admission restrictions: Charging admission, selling merchandise or collecting money during a rental requires facility management approval. Obtain permission before planning a ticketed public event.
