Room, Kitchen & Gym Rental Fees

UW–Madison publishes the following Community Center rates for eligible University Apartments residents and resident organizations.

Rental SpaceHourly Rate
Standard meeting/classroom$35
Community kitchen$30
Gymnasium$55
Groups of 50 or moreAdditional $75 nonrefundable surcharge

The rental price depends on the rooms, event duration and group size. A combined room-and-kitchen request can involve charges for each reserved space.

Rental cost example: Three hours in a standard room would cost $105 at the published hourly rate. A three-hour gym reservation would cost $165. For groups of 50 or more, add the $75 surcharge where applicable. These calculations exclude any other applicable conditions or charges.

Who Can Rent a Space?

  • Current residents of Eagle Heights, University Houses or Harvey Street University Apartments.
  • Recognized University Apartments resident organizations.
  • Other groups only if University Housing expressly confirms eligibility.

These are not unrestricted commercial venue rentals. A resident cannot assume an outside friend or unrelated organization can book space under the resident’s name.

For help understanding typical room capacities, deposits and overall event budgets, see our community center rental planning guide. Eagle Heights’ university policy takes priority over the examples from other centers.

How to Reserve a Room at Eagle Heights

University Housing uses an online reservation process. Requests must be submitted at least two business days before the event to be considered.

  1. Open the official Community Center page.
  2. Find the Create a Space Reservation link under renting space.
  3. Sign in or complete the required reservation account details.
  4. Select the desired meeting room, gym or kitchen.
  5. Choose an available date and include setup, event and cleanup time.
  6. Enter the event description and approximate number of guests.
  7. Review the calculated fee and any large-group surcharge.
  8. Complete the rental agreement through the approved university process.
  9. Keep the reservation confirmation and instructions for building access.
A request is not approval: Do not advertise a venue as booked or invite guests before confirming the reservation through University Housing.

If you have trouble with the reservation system, contact universityapartments@housing.wisc.edu or call 608-262-2522.

Rental Entry, Check-In & Cancellation Rules

University Apartments maintains specific security rules for after-hours room reservations. The published rental FAQ explains that building keys are not handed out to renters.

Before Your Event

  1. Review your written room confirmation.
  2. Bring a Wiscard, driver’s license, state ID or passport.
  3. Ensure the resident named on the contract personally checks in.
  4. Follow the instructions in the reservation confirmation for after-hours entry.
  5. Use only the contracted room and any approved equipment.
  6. Keep exterior doors secured; do not prop them open.
  7. Complete cleanup and leave by the approved end time.

University Housing’s rental FAQ describes contacting the on-call Resident Manager around 20 minutes before a rental for building entry. Confirm the currently approved access number and process with staff when making the reservation.

Cancellation

The published rental FAQ requires cancellation at least 14 days before the event to avoid the stated non-billing/cancellation consequences. Unused spaces or reservations cancelled too late may not qualify for a refund or credit. An online cancellation is not complete until University Apartments confirms it.

Because rental policies may change, check the current FAQ and agreement for the exact refund terms before paying.
