Rentals are available by approved reservation. The City requires a completed Facility Use Application and signed rental policies. There are different applications for one-time and recurring use.

Important: Submitting an application is not the same as having a confirmed reservation. Verify room availability and receive the City’s booking approval before making nonrefundable arrangements with caterers or guests.

If you are comparing spaces, deposits, resident pricing and other rental costs, our community center rental fee and booking guide explains how to prepare a realistic event budget. Casey’s own City policy always takes priority.

Room Sizes, Capacities & Published Rental Rates

Casey’s City-published rental rate and capacity PDF identifies the following room categories. Amounts below are from that published PDF; confirm whether an updated fee schedule applies to your event date before paying.

RoomCapacityIndividual Hourly Rate (Resident / Nonresident)
Casey (A)135$90 / $135
Gaither (B)50$47 / $70
Summit (D)20$25 / $38
Peachtree (E)45$47 / $70
Oak (F)20$25 / $38

Nonprofit organizations and commercial renters have separate fee categories. For example, the published table lists Casey Room A at $47/$70 per hour for qualifying nonprofits and $110/$165 per hour for business or commercial use (resident/nonresident).

Resident-rate rule: You must qualify within the corporate City limits of Gaithersburg. A Gaithersburg mailing address alone does not automatically qualify. The City can verify an address before quoting the resident rate.

Room Selection Details

  • Casey Room A: Largest event space, capacity 135 and up to 27 tables under the listed layout limits.
  • Gaither Room B: Capacity 50 and up to 14 tables.
  • Summit Room D: Early childhood classroom with child-sized furniture; not ideal for every adult event.
  • Peachtree Room E: Capacity 45, subject to setup rules.
  • Oak and Aspen: Smaller 20-person rooms; the City’s published policy identifies restrictions for carpeted rooms and food or beverages.

Tables and chairs are included in rentals under the published guidance, with rectangular and round tables subject to availability. Ask which arrangement fits the approved room capacity.

How to Book Casey Community Center

  1. Choose the event type. Identify whether you are planning a birthday, workshop, reception, business meeting, recurring activity or nonprofit event.
  2. Count your guests. Match the attendance to the published occupancy of a suitable room, allowing for tables and the type of setup.
  3. Confirm the date. Contact 301-258-6366 or email caseycomm@gaithersburgmd.gov. The City permits reservations up to six months ahead.
  4. Calculate rental hours. Include decorating, setup, guest arrival, event time, cleanup and exit time within the reservation.
  5. Check the applicable rate. Determine whether you qualify for resident, nonresident, nonprofit or commercial pricing.
  6. Read the policy. Check food, kitchen use, alcohol, decorations, noise, cleaning, security, cancellation and deposit conditions.
  7. Complete the correct application. The City’s rental webpage provides one-time and recurring Facility Use Applications in English and Spanish.
  8. Submit the documents. Include the signed rental policies and follow the City’s payment instructions for the $250 security deposit and charges.
  9. Receive official confirmation. Ask for the approved room, rental dates and times, total amount, access arrangements and event instructions in writing.

  • A $250 security deposit is required under the published policy.
  • Reservations are generally first-come, first-served and subject to approval.

  • Occupancy limits must be followed to avoid violations and potential deposit deductions.
  • The City provides specific recycling and trash-disposal procedures for events.
  • Food-waste composting may be available when coordinated with staff.
  • Event alcohol and other special arrangements require review of the applicable City policies and fees.

  • For a weekday evening visit: Confirm that the scheduled activity or rental permits public building entry after regular hours.
