How to Book a Room or Event at SBCC

Most rental requests should be submitted at least 30 days ahead of the event. Larger or specialized events may require additional review and longer preparation.

  1. Choose your room. Match guest count, layout and activity to the published capacity. For 150 seated guests, the combined Community Room is the appropriate listed option.
  2. Choose dates and times. Include equipment delivery, decorating, setup and complete cleanup in your requested rental window.
  3. Check availability. For Monday–Friday bookings, email sbcc@bellevuewa.gov. For weekend requests, use the online reservation link on the official rental webpage.
  4. Submit the necessary documents. The City lists an Indoor Facility Use Request Form, Facility Supplemental Form, payment authorization and additional Special Use Form when applicable.
  5. Confirm special services. Outside catering, music, entertainment, hired equipment and alcohol-related arrangements may require approval or permits.
  6. Pay the required amount. Follow the staff-issued payment schedule. The published guidelines describe deposits and remaining payments depending on booking lead time.
  7. Wait for written approval. A request is not a confirmed rental. Keep the final rental agreement, payment receipt and event instructions.

Special Events: Important Rules

  • The primary contact must generally be at least 21 years old and remain present throughout the rental.
  • Special-use requests must be approved in advance. The rental webpage states the special-use form should be submitted at least 30 days before an event. A guide section also references a 21-day completion deadline, so follow the earlier submission requirement.
  • Alcohol service requires the appropriate Washington State permits and City approval. Copies of applicable permits must be provided within the City’s required deadline.
  • Helium balloons are not permitted under the SBCC-specific rental guidelines.
  • Equipment, table arrangements, cleanup and decoration restrictions should be discussed with staff before the event.
  • Ask about accessible event arrangements or reasonable modifications at least 48 hours in advance whenever possible.

Bellevue Climbing Wall and Group Activities

SBCC’s indoor climbing wall is approximately 33 feet tall, with three belay ropes, multiple climbing routes and a bouldering/traverse section. The City advertises the wall for approved parties, team-building and group activities.

Minimum age

The City lists age 6 as the minimum for climbing-wall rentals.

Private rental

Published base rental rate is $90 per hour, with a listed capacity of 12. Confirm staffing and actual package terms.

Do not assume the wall is open for unscheduled climbing whenever the building is open. Contact the center to confirm climbing sessions, supervision, equipment and reservations.
