Insurance, Special Events & Cancellation Rules

The Township’s rental materials list additional conditions that can affect whether your application is accepted and how much the event costs.

RequirementWhat to know
InsuranceA certificate is required for athletic activities, contractors and qualifying nonprofit rentals, as specified in the brochure.
Liability coverageWhen required, the published minimum is $1 million per occurrence and $2 million aggregate, naming the Township and Recreation Department as additional insured.
Nonprofit paperworkProof of qualifying status and a W-9 may be required for 501(c)(3) organizations.
Park special eventsGroups of 25 or more, or events of any size bringing vendors or entertainment into a Township park, require a special event permit.
Refund deadlineWritten cancellation requests must be made at least 14 days ahead under the published brochure policy.
Refund processingThe brochure lists a 15% administrative fee and a processing period of approximately 6–8 weeks.
Weather cancellationIf Recreation cancels due to an emergency and a replacement date is not possible, the brochure provides for a full refund.

Insurance and permit rules depend on the specific event. A small indoor meeting should not automatically be treated the same as an outdoor public festival with vendors.

Public Meetings & Community Participation

Bauer Community Center is also a meeting location for Millburn Township boards and civic bodies. Public meeting times are set by each organization, rather than the community center’s general recreation timetable.

The Township’s 2026 Environmental Commission schedule includes meetings at Bauer, normally at 7 PM on the specified dates. Public access begins at 6:45 PM for those meetings.

The Recreation Commission also has scheduled meetings at Bauer during selected months, with other sessions held at Gero Park Recreation Building.

Going to a public meeting? Check the exact meeting date, agenda and room. Bauer’s Fireplace Room and Youth Room have both been used for Township meetings, so arriving at the right building is only the first step.
